How to Build an AI Agent That Routes and Processes Data

A data processing agent reads incoming data from forms, webhooks, emails, or databases, uses AI to classify and extract useful information from it, and routes the processed data to the right destination. This eliminates manual data triage and ensures every piece of incoming information reaches the right person or system without delay.

What Data Processing Agents Handle

Most businesses receive data from multiple sources throughout the day. Form submissions come from the website. Webhook notifications arrive from payment processors, CRM systems, and third-party tools. Emails arrive with orders, questions, complaints, and partnership inquiries. Each piece of data needs to be read, understood, and routed to the right place.

Without an agent, this work falls on someone who checks inboxes, reads submissions, decides what each one is, and forwards it to the appropriate person or enters it into the correct system. A data processing agent automates that entire workflow. The AI reads and understands the content, and the workflow routes it based on that understanding.

Common Data Processing Patterns

Classification and Routing

The most common pattern is classifying incoming data and routing it to different destinations based on the classification. The AI reads the data, assigns a category, and the workflow sends it to the right team or system.

For example, a form submission agent might classify entries as: sales inquiry, customer support, job application, vendor pitch, or spam. Sales inquiries get forwarded to the sales team via SMS. Support requests create a ticket in the unified inbox. Job applications get stored in a database table. Vendor pitches get a polite automated reply. Spam gets discarded.

Extraction and Normalization

Raw data often contains the information you need buried in unstructured text. An AI agent can extract specific fields from messy input. A customer emails: "Hi, I'm John Smith at Acme Corp, we need 500 units of the blue widget by March 15th, our PO number is 12345." The AI extracts: name (John Smith), company (Acme Corp), quantity (500), product (blue widget), deadline (March 15), PO number (12345). The agent writes these structured fields to your database.

This works with any unstructured text: email bodies, chat transcripts, uploaded documents, or free-form text fields on forms. The AI handles variations in formatting, spelling, and phrasing that would break a rigid parser.

Enrichment

A data processing agent can add information to incoming records. When a new lead arrives with just a name and email, the agent can query external data sources to append company size, industry, location, or social profiles. When a customer complaint arrives, the agent can look up the customer's order history and attach relevant context before routing it to support.

Deduplication

When data arrives from multiple channels, duplicates are inevitable. The same person might fill out a web form and send an email about the same issue. An AI agent can compare incoming data against existing records and identify likely duplicates, merging or flagging them instead of creating redundant entries.

Building a Data Processing Agent

Step 1: Identify your data sources.
List every place incoming data arrives: website forms, email inboxes, webhook endpoints, manual uploads, API calls. Each source needs a trigger in your workflow.
Step 2: Define your categories and destinations.
Decide what categories the AI should classify data into and where each category should go. Write this out clearly before building the workflow. The categories should be mutually exclusive so the AI can make clean decisions.
Step 3: Write the AI prompt.
Create a prompt that tells the AI exactly how to process the data. Include: what the data represents, what categories to classify it into, what fields to extract, and the format you want the output in. Be specific. "Classify this as sales or support" works better than "figure out what this is about."
Step 4: Build the workflow.

Step 5: Add error handling.

Connecting to External Systems

Data processing agents often need to send processed data to external systems. Use API connections to forward data to your CRM, project management tool, accounting software, or any service that accepts webhook or API calls. The agent can format the data according to each destination's requirements before sending.
